AI Automation: Speed-to-lead responder

How the resort's instant reply system works

Someone asks about booking a villa on the resort's website. Within a minute they get a proper, personal reply — and if they're a serious guest, the owner's phone gets a “call this person today” alert. Here's what happens in between.

In plain terms

Think of it as a night-shift front desk clerk who never sleeps: reads every inquiry the moment it arrives, checks the booking calendar, writes a polite reply, throws away the junk mail, and only wakes the owner when there's real money on the line.

  1. 01
A guest fills in the booking form

Name, dates, which villa, how many people, and their question. The moment they hit send, the form hands everything to the automated clerk. The guest sees nothing unusual — it's just the normal website form.

  2. 02
The clerk sizes up the inquiry

It works out how valuable the stay would be — nights × villa rate, used only for ranking and never shown to the guest — and runs quick junk checks: suspicious links, sales-pitch keywords, fake-looking emails.

  3. 03
It checks the real booking calendar

It looks at the resort's actual calendar for those dates. Importantly, plain code makes this call, not the AI — and when anything is unclear, the answer becomes “we're checking availability” rather than risking a promise about a villa that's taken.

  4. 04
AI grades the lead and writes the reply

The AI scores the inquiry 0–100 and sorts it: Hot — real dates, real intent, worth a phone call today. Warm — genuine but missing details. Junk — spam or a sales pitch. Then it drafts a reply in the tone of a five-star hotel, under strict house rules: never quote a price, never promise availability beyond what the calendar said, never make anything up.

Costs about half a cent per inquiry
  5. 05
The right people hear about it

Hot lead: the guest gets an instant reply from the resort's own email address, and the owner gets an alert — score, dates, value, and the guest's phone number, ready to dial. Warm: instant reply asking for the one missing detail. Junk: silence — no reply wasted. And if the AI's answer ever looks malformed, nothing is sent; a human is asked to look instead.

    Under a minute, 24/7
  6. 06
    Everything is written down

Every inquiry — its score, the reasoning in one sentence, and the exact reply sent — is saved into the resort's website admin. The owner can audit any decision the clerk ever made.

Before

Hours, or days

inquiries sat in an inbox mixed with spam, answered hours or days later — and most bookings go to whoever replies first.

After

Under a minute

every real guest gets a thoughtful reply in under a minute, the owner only handles the calls that matter, and spam disappears silently. One extra booking pays for years of running it.
